1. About this policy
This Privacy Policy explains how KA SERVICES GROUP LTD, trading as Kind Assist (“we”, “us” or “our”), handles personal information when you visit our website, contact us, or use our personal alarm products and monitoring service.
We are responsible for deciding why and how personal information is used for our own business activities. In data protection law, this makes us a data controller. Our business and returns address is Unit 1, 50 Jessie Street, Glasgow, G42 0PG, United Kingdom. You can contact us about privacy at hello@kindassist.co.uk.
Read this policy alongside our Terms & conditions and Terms of service. Those documents explain purchases and monitoring arrangements. This notice explains information handling; reading it or using the website is not blanket consent to processing.

3. Who and what the policy covers
This policy covers personal information used for Kind Assist enquiries, product and subscription administration, and our in-house monitoring service. The person paying for a service, the alarm user and the nominated emergency contacts may be different people.
The current website lets you explore products, select a plan, download a summary and send an enquiry. The enquiry form sends the details you enter to Kind Assist for review. It does not accept payments, register an activated alarm user or start monitoring.
The enquiry form collects your name, email address, optional telephone and organisation, selected device and plan, and any message you provide. These are saved in a Cloudflare D1 database for authorised Kind Assist staff to review and follow up. A unique submission reference helps identify the enquiry and avoid duplicates. The form is not an emergency channel; do not include medical details, GPS locations or key-safe codes.
For spam prevention, the server keeps a salted hash of your authenticated identifier or connection address and a short-lived submission counter. The application does not store the raw connection address in that counter. Expired counters are removed on subsequent submissions after approximately 24 hours. Hosting infrastructure may retain separate technical logs under its own arrangements.
4. Information we handle
The information needed depends on your interaction with us. Relevant categories may include:
- Contact and identity details: your name, address, email address and telephone number, where supplied or required for the service.
- Enquiry and correspondence details: messages, requests, complaints and our responses.
- Customer and service details: the selected device and plan, device identifier, activation status, subscription administration and relevant alarm-event information needed to arrange assistance.
- Nominated contact details: names, relationships and contact information needed to reach the people nominated for assistance.
- Technical information: information processed by hosting and security infrastructure, such as an IP address, request time, browser details and connection logs.
Kind Assist does not collect medical information, GPS locations, call recordings or key-safe codes as part of the service you have been told about. This policy does not introduce health or fitness tracking, social-media profiling or recording of telephone calls.
Please do not email medical records, key-safe codes or full payment-card details to our general enquiries inbox. If unnecessary sensitive information is received, we will limit its use and take appropriate steps to handle or remove it. An emergency conversation can reveal information about a person’s condition; the final response and recordkeeping procedure must address that possibility before service onboarding opens.
5. How we receive information
We receive information directly when you email us or otherwise contact us about products, service administration or a complaint. Where a customer arranges an alarm for another person, we may receive basic information about the alarm user and nominated contacts from that customer. During an activated service, relevant information may also be provided by the alarm user, a nominated contact or an emergency responder.
Website infrastructure processes connection information to deliver and protect the site. We do not claim to collect personal profiles from LinkedIn, Facebook, X, Google or Bing. A competitor’s data sources do not become ours through this policy.
If you give us someone else’s details, ensure you have an appropriate reason and authority to do so and make this policy available to them. Paying for an alarm does not automatically authorise every use of the wearer’s information. Where required, we will also give privacy information directly to people whose details we receive from another source.
6. Why we use information and our legal bases
We use personal information only where there is an applicable legal basis. The basis depends on the individual and the purpose; it is not automatically the same for the customer, alarm user and nominated contacts.
| Purpose | Basis and relevant interest |
|---|---|
| Answer an enquiry or prepare a requested purchase | Steps you request before a contract, where applicable; otherwise our legitimate interest in responding to correspondence. |
| Manage the contracting customer’s purchase and subscription | Performance of the contract with that customer, for information necessary to deliver it. |
| Arrange non-contracting users’ service and contact nominated people | A separately assessed basis, such as legitimate interests in operating an agreed personal alarm service, balanced against the individuals’ rights. This must be settled and documented for the actual process before onboarding. |
| Protect our website and investigate complaints | Legitimate interests in maintaining security, preventing misuse and resolving concerns; a legal obligation where a specific duty applies. |
| Keep legally required business records | The applicable legal obligation. |
| Send optional promotional emails, if introduced | Consent. Marketing permission will be separate from the service agreement and can be withdrawn. |
Information necessary to set up and operate an agreed service must be supplied for us to provide that service. If essential contact or activation details are unavailable, we may be unable to activate or maintain monitoring; we will explain what is required and why. Optional marketing is not a condition of purchase.
We do not treat “legitimate interests” as permission for unrestricted use. Any new purpose will need an appropriate assessment and privacy information. If special-category information, such as health information, becomes necessary, an additional legal condition is required before that processing begins. Routine monitoring cannot rely indiscriminately on an emergency exception.
7. Marketing and your choices
The current website has no marketing sign-up form. If we introduce optional promotional emails, we will ask for your consent and provide a straightforward way to unsubscribe. You can also contact hello@kindassist.co.uk to withdraw that consent. Withdrawal does not affect the lawfulness of earlier processing.
Necessary service messages, such as activation information, subscription notices, safety messages or replies to a request, are different from advertising. We will not treat an ordinary enquiry or acceptance of service terms as general permission for marketing.
8. Who may receive information
Authorised Kind Assist staff may access information needed for their work. Monitoring is provided in-house. In responding to an alarm, necessary details may be given to nominated contacts or emergency services, according to the situation and an appropriate legal basis.
Providers supporting hosting, email and business administration may process information for their role. When ordering is introduced, payment and delivery providers may receive the information needed to process a payment, refund or delivery. Relevant information may also be disclosed to professional advisers or public authorities where justified or legally required.
We limit disclosure to the purpose concerned. Being a relative or paying for an alarm does not automatically entitle someone to all account information. We do not sell personal information for advertising.
9. Security and overseas processing
We must use safeguards appropriate to the information and the risks, including restricting access to people who need it and managing any security incidents. We do not promise that every transmission or system is completely secure. If you suspect unauthorised access or disclosure, contact hello@kindassist.co.uk promptly.
The website uses ChatGPT Sites infrastructure, including Cloudflare. Private-preview authentication is handled through ChatGPT. Fonts are requested from Google Fonts, so a visitor’s browser makes a connection to Google. These providers process information under their relevant roles and privacy arrangements.
Review item: actual provider contracts, processing locations, operational storage, access controls and backup arrangements still need to be confirmed. Where a restricted overseas transfer occurs, it must have a valid legal mechanism and any required assessment. The final notice must identify the applicable safeguard and explain how you can obtain information about it. This draft does not assert that all information stays in the UK.
10. Retention and deletion
We keep information only for as long as the relevant purpose and any applicable legal requirement justify it. In deciding the period, we consider whether an enquiry is still open, whether a service or complaint remains active, the sensitivity of the information, recordkeeping obligations and any justified need to establish or defend a legal claim.
When the reason for retention ends, information should be securely deleted or anonymised. A deletion request does not automatically remove information that must lawfully be retained, and backup deletion must follow a defined retention cycle rather than an unlimited exception.
Review item: the actual periods or sufficiently specific retention criteria for enquiries, account information, alarm-event records, technical logs and backups must be completed against Kind Assist’s operational systems. No unverified retention period is adopted from another provider.
11. Your data protection rights
Depending on the circumstances and the legal basis used, you may have the right to:
- Request access to your personal information.
- Correct inaccurate or incomplete information.
- Request deletion or restriction of processing.
- Receive or transfer certain information in a portable format.
- Withdraw consent where processing relies on it.
Your right to object: you can object to processing based on legitimate interests in circumstances provided by law. You have an absolute right to object to use of your information for direct marketing.
Contact hello@kindassist.co.uk to make a request. We may make proportionate identity or authority checks before disclosing information. We will respond within the applicable legal time limit and explain any lawful extension, restriction or refusal. Requests are normally free, subject to the limited exceptions permitted by law.
If you are concerned about our handling of information, you can contact us or complain directly to the Information Commissioner’s Office (ICO). You do not have to complain to us first.
12. Cookies and similar technologies
The Kind Assist application in this version does not set cookies or store plan selections in local storage. The plan download is generated on your device. Hosting and private sign-in services may use necessary cookies or similar technologies for their functions; their specific use requires verification for the final launch configuration.
No Google Analytics, Heap, Hotjar, Facebook Pixel, Microsoft advertising, VWO, Adalyser or Crazy Egg tracking has been added to this website. We do not list a tracker merely because it appears in another business’s policy. Google Fonts requests are explained in section 9 and are separate from Google Analytics.
If we add technologies that require consent, they must remain inactive until the required consent is given. We will provide accurate information about their purpose, providers and duration, and a way to change your choice. Refusing optional tracking must not prevent access to functions that do not need it.
Your browser may also let you delete or restrict cookies. Blocking necessary cookies can affect sign-in or other relevant functions. Browser settings alone are not a substitute for any consent we are required to obtain.
13. External links and automated decisions
Other websites linked from this site have their own privacy practices. Read their notices before providing information. Our policy describes Kind Assist’s activities and does not replace another organisation’s notice.
The current plan selector calculates prices from your chosen product and payment period; it does not make an automated decision with a legal or similarly significant effect on you. Any future profiling or significant automated decision-making would need its own assessment and appropriate explanation before use.
14. Business changes
If our business is reorganised or transferred, relevant personal information may need to be considered or transferred as part of that process. Any disclosure must have a lawful basis, be limited to what is necessary and use suitable safeguards. We will provide any required information about a change of controller or purpose. A business transfer does not create unrestricted permission to use your information for new purposes.
15. Changes and contact details
We will review this policy when our services, systems or legal obligations change and show the date of the current version. Material changes will be brought to affected people’s attention as required. Continued website use is not treated as consent to a new purpose that requires consent, and an update does not retrospectively authorise earlier processing.
